White-Label Chatbots Under Your Own Brand: How It Actually Works

"You can sell our chatbot white-label" — every platform says it. What agencies actually need to know is concretely, what becomes your brand and how far it goes.

The business model and contract structure are covered in our OEM & White-Label Complete Guide. This is the hands-on companion: how it's actually configured in OneBot's dashboard, and what your clients see.

Breaking "White-Label" into Layers

LayerWhat it meansWhy it matters to you
① Visual brandingLogo and brand presentationClients perceive it as your service
② Environment isolationIndependent per-client environmentNo trace of other customers = genuine own-service feel
③ Product design rightsYou define plans, prices, limitsIt's your product, not a rental
④ Customer relationship ownershipYou hold contract, billing, supportThe client relationship is your asset

When evaluating platforms, determine whether you get only ① or the full ①–③. Here's how each layer works in OneBot.

① Visual Branding: Per-Tenant Logos

Each client (tenant) gets its own uploaded logo, configured from tenant settings and reflected in:

  • The client's admin dashboard branding
  • The chat UI and member portal end users see

When your client's staff log in, they see your (or their) brand. Logo replacement and removal apply instantly from the dashboard.

② Environment Isolation: Clients See "Their Own System"

Branding fails if Client A can see traces of anyone else. OneBot's multi-tenant structure gives every client a fully isolated environment:

  • Users, data, chat history, and settings stay inside the tenant
  • End users get a dedicated member portal URL (/portal/client-slug/)
  • Access is governed by a 4-level role model (see multi-tenant management)

From the client's viewpoint, "other users of the platform" simply don't exist.

③ Product Design Rights: Your Plans, Your Limits

White-label's real substance is product ownership. As Super Admin you define:

  • Plans — combinations of message limits and feature sets
  • Assignment — different plans per tenant
  • Overage behavior — block / metered / notify-only, per client
  • Usage visibility — per-tenant usage and AI cost in the dashboard (see LLM cost management)

You compose your own Light/Standard/Premium lineup in settings — and pricing to your clients is entirely yours.

④ Owning the Customer Relationship

In the OEM model, the agency holds the end-client contract, billing, and first-line support. The platform (VAON) stays behind you — the client relationship remains your asset:

  • Proposals, quotes, contracts: in your name
  • First-line support: you (with technical escalation backed by VAON)
  • Onboarding: fully no-code (training data, LINE integration, plan assignment) — no engineers needed

Deployments with GMJ, Javion, and AiboLink run on this division of roles.

Setup Walkthrough: Launching Your First Branded Client

  1. Create the tenant under the client's name
  2. Upload the logo (client's or yours)
  3. Assign a plan from your lineup
  4. Create the project — training data, chat UI, LINE integration
  5. Issue the portal URL to end users

All no-code; standard onboarding is two weeks.

What It Can't Do (Honestly)

Know the limits before you promise:

  • Custom domains per client: feasibility depends on configuration — consult us
  • Fully custom email senders for system notifications: consult us
  • Structural UI changes beyond logo/brand presentation: custom development

Clear boundaries between standard capability and custom work make your client proposals credible — "everything is possible" doesn't.

FAQ

Q1. Beyond logos, can colors/themes vary per client?

Logo settings are standard; the embedded chat widget is customizable via its embed settings. Deeper theming is a custom conversation.

Q2. Will clients see "Powered by OneBot" anywhere?

Client-facing brand presentation follows tenant settings. Verify display specifics in your trial environment.

Q3. Could VAON ever contract directly with our clients?

No — in the OEM model the agency is the primary contractor. VAON does not sell directly to your clients.

Q4. Are there minimum volumes or annual commitments?

Partner terms are discussed individually after your trial. Starting with a single client is fine.

Q5. Can we migrate an existing client to a different plan?

Yes — tenant plan assignment is changeable, with the new limits and behavior applying after the change.

Q6. Can we have our own branded dashboard URL?

Standard login uses the shared platform URL; custom-domain setups are a consultation item (see limits above).

Summary

  • Evaluate white-label in four layers: visuals / isolation / product design rights / customer ownership
  • OneBot covers ①–④ via per-tenant logos, isolated environments, plan design, and the OEM contract structure
  • Limits (custom domains etc.) are explicit consultation items — clear boundaries build trust
